DOT Compliance Desk by VertexLab Solutions LLC · Last updated September 28, 2026
DOT Compliance Desk helps motor carriers keep their driver, vehicle and company records in order. To do that we hold records about the carrier and about the people who drive for it. This page says what we hold, why, who else sees it, and how long we keep it.
The carrier keeps these records itself, using the app. Nobody at DOT Compliance Desk reads a carrier's documents as part of the service.
Who this covers
- Carriers: the company that signs up, and the person who uses the app for it.
- Drivers: people whose records a carrier keeps with us. The carrier is our customer, but the records are about you, and the section "If you are a driver" below is for you.
The service is offered in the United States only.
What we collect
- Account details: your mobile number, which we use to text you a sign-in code, and your reminder settings.
- Company details: legal name, USDOT and MC numbers, base state, and the answers you give during setup about how you operate. We also read your carrier's public record from the Federal Motor Carrier Safety Administration (FMCSA).
- Driver records: name, mobile number, license details, hire and last-day dates, the documents in a driver qualification file, and the dates the carrier enters for them. These include medical examiner's certificates, driving records, Clearinghouse query records, and drug and alcohol testing program enrollment.
- Vehicle records: unit number, vehicle details and inspection documents.
- Documents and photos: the pictures you add in the app.
- Messages: the sign-in codes we text you, and what you write to us by email. We do not take phone calls, and we do not keep photos or messages sent in reply to our texts.
- Opt-out records: the phone number of anyone who has replied STOP.
- Plan status: which plan you have and when it renews, from the signed receipt Apple gives us. Apple takes the payment. We never see your card or bank details.
- A log of actions: who viewed or changed a record and when, so that access to driver records can be checked.
What we do not collect
- We do not track your location.
- The app contains no advertising software, no third-party analytics and no trackers.
- Face ID is handled by your iPhone. We never receive your face data; the app is only told whether the unlock succeeded.
Permissions the app asks for
- Camera: to photograph driver and vehicle documents.
- Photo library: to bring in a document you have already photographed.
- Face ID: to keep records private if someone else picks up your phone.
- Notifications: for deadline reminders.
Why we use it
- To keep the carrier's compliance records and show what is due, missing or expiring.
- To text you a sign-in code.
- To answer questions about the app that you send us by email.
- To confirm a plan is active.
A driver's records are used only to keep the records of the carrier that added them. We do not sell personal information. We do not combine drivers' records across carriers, and we do not build driver scores or profiles.
Who sees it
- The carrier, and the people it has added to its account.
- Our staff, only to answer a request for help from the carrier, to keep the service working, or when the law requires it. They do not read documents as part of the service. Their access requires two-step sign-in and is logged.
- Twilio, which delivers our text messages.
- Apple, which processes plan payments and tells us the result.
- FMCSA, which we ask for a carrier's public record by its USDOT number. We send FMCSA nothing else, and we submit nothing to any agency for a carrier.
- Our hosting providers, which store the data on our behalf.
- Others when the law requires it, such as a valid subpoena or court order.
Text messages
We text the person signing in a code, and nothing else. We do not text drivers. Reminders about deadlines come from the app on your phone. Message and data rates may apply. Reply STOP to any message to end all texts from us, or HELP for help. Replying STOP also ends sign-in codes; to get them again, text START to the number we message you from. Nobody reads any other reply. We do not share mobile numbers with anyone for marketing.
How long we keep it
Federal rules require carriers to keep many of these records for set periods. A driver qualification file, for example, must be kept for three years after the driver's last day (49 CFR 391.51). For that reason the app does not delete a driver's file when they leave; it records their last day and keeps the file for the required period.
Deleting your account
You can delete your account in the app: Account, then Delete account. This is what happens.
- You are signed out on every phone straight away.
- Nothing is deleted for 30 days. Until then the owner can sign in, download the records, and keep the account.
- After 30 days we delete the company, its people, its drivers, its trucks, its documents and the files themselves.
We keep three things: a record that the account was closed, which names nobody; our log of actions, which holds no names, numbers or documents; and the list of phone numbers that replied STOP, so that they are never texted again.
Records that are under a subpoena, an open claim or an audit are kept until that ends. Deleting your account does not immediately remove the records our text provider keeps of the messages it delivered, or copies in our backups. To ask about those, email us.
No plan is on sale at present. If you have one, deleting your account does not cancel it. Apple bills you, and you cancel in your Apple account settings.
If you are a driver
You can ask to see the records we hold about you and ask for a mistake to be corrected. Email us at the address below and tell us which carrier you drive or drove for. We may need to confirm who you are before we answer. Some records belong to the carrier's required file and can be corrected but not removed while the law requires the carrier to keep them.
Your choices
- Reply STOP to end texts. This ends sign-in codes too.
- Turn camera, photo, Face ID and notification access on or off in your iPhone's Settings.
- Delete your account in the app, or ask us to.
- Ask us for a copy of your records or a correction.
- Manage or cancel a plan in your Apple account settings.
Depending on the state you live in, you may have further rights over your personal information, including the right to appeal a decision we make about your request. We honor those rights for everyone, wherever you live in the United States.
Security
Connections between the app and our servers are encrypted. The app can be locked with Face ID. Access to driver records by our staff requires two-step sign-in and is logged. No system is perfectly secure; if a breach affects your information we will tell you as the law requires.
